CDL Scheduling Assistant

Buckeye Career Center

In coordination with Buckeye Career Center, the ECOESC is seeking an organized and team-oriented CDL Scheduling Assistant.  This position will be responsible for  overseeing the scheduling of all aspects of CDL course offerings and testing following Ohio Traffic Safety & FMCSA guidelines.

 

Minimum Qualifications:

  • Meets all mandated state health requirements when applicable
  • Knowledge of FMCSA and state CDL, DOT regulations and training/testing requirements
  • Previous administrative assistance experience, preferably in transportation, logistics, or a related industry
  • A record free of criminal violations that would prohibit public employment
  • High School diploma or GED required
  • Ability to pass BCI/FBI background check and drug screening
  • Ability to work flexible hours, including evenings and weekends as needed

 

Responsibilities:

  • Upholds board policies and follows administrative procedures
  • Maintains schedule of courses for all aspects of CDL and CDL Examination within the FMCSA and Ohio Traffic Safety Office regulations
  • Schedules students with appropriate credentials in CDL courses.  Administers and evaluates written and practical skills assessments
  • Works with Training Manager to assign instructors the dates and subjects to be taught in all courses offered
  • Works with CDL Examiner to assign examiners the dates and exams for all CDL tests offered
  • Examines and verifies paperwork and electronic information to ensure CDL students and CDL testers meet requirements according to current regulations
  • Performs secretarial and administrative support duties.  Takes the initiative to perform routine tasks independently.  Organizes and maintains computer and hard copy filing systems of office records to ensure compliance
  • Assists with processing and filing CDL applications, renewals, and endorsements.  Maintains up-to-date driver records, including licenses, certifications and medical cards.  Prepares and organizes reports, forms and other compliance documents.  Handles incoming calls and emails related to CDL scheduling and inquiries
  • Ensures all CDL records and schedules comply with DOT (Department of Transportation) and FMCSA (Federal Motor Carrier Safety Administration) regulations
  • Monitors expirations dates for licenses, physical exams, and training certifications
  • Assists in audits and inspections by providing necessary documentation
  • Serves as a liaison between drivers, trainers, examiners and company management
  • Provides drivers with scheduling updates and necessary documents.  Addresses scheduling conflicts, cancellations and rescheduling requests effectively
  • Provides information to students on enrollment and licensure in a professional manner
  • Ensures compliance with all state and federal regulations related to CDL training
  • Maintains accurate training records and student progress reports
  • Fosters a positive and professional environment for students of varying experience levels
  • Maintains visibility.  Promotes a professional image of the Career Center.  Builds community partnerships that enhance district programs and services
  • Serves as a career information resource for parents, students and partner schools
  • Helps staff resolve problems that impeded student learning and/or participation in career education activities
  • Maintains high standards
  • Maintains timely submission of reports, records and inventories.  Maintains district records for the maximum period mandated by law and/or board policy
  • Collection, entry and verification of program data as directed
  • Respects personal privacy
  • Maintains the confidentiality of privileged information
  • Upholds computer technology acceptable use policies
  • Participates in activities that advance district goals and promotes professional growth
  • Accepts personal responsibility for decisions and conflict
  • Strives to develop rapport and serve as a positive role model for others

Supervisory Responsibility:

Under the direction of the assigned supervisor:  plans work assignments, provides instructions, and monitors assigned staff.  Promotes teamwork and helps staff as needed to successfully accomplish delegated duties.

 

Working Conditions:

Exposure to the following situations may range from remote to frequent based on circumstances and factors that may not be predictable:

  • Operating and/or riding in a vehicle
  • Traveling to meetings and work assignments
  • Prolonged used of a computer keyboard and monitor
  • Lifting, carrying and moving work-related supplies/equipment
  • Working extended hours
  • Working under time constraints to meet deadlines
  • Exposure to adverse weather conditions and seasonal temperature extremes
  • Potential exposure to blood borne pathogens and communicable diseases
  • Potential interaction with aggressive, disruptive and/or unruly individuals

 

Additional Information:

  • Tentative start date June 2025
  • 260 Day Contract ( 8 hours/day)
